Sending bills to shops on WhatsApp: what to send, when, and what it settles
Send the bill at the counter, to the owner's number, as a PDF plus a short line. When to resend, monthly statements, and what not to do on WhatsApp.

Short answer
Send the bill at the counter, before the salesman leaves, to the shop owner’s own number. Send the PDF for the records and a short line with the total, paid and balance for the owner. Send the updated bill after every payment, and a statement once a month. Use phones and numbers the business owns, so the history stays when a salesman leaves.

Most shops in Tamil Nadu already expect the bill on WhatsApp. The carbon copy in the bill book gets lost under the counter; the WhatsApp message stays on the owner’s phone and can be forwarded to their accountant in a second. Done properly, it does more than replace paper. It settles the questions that cause most arguments with shops: what was delivered, at what price, and what is still owed.
Done carelessly, it creates new ones: bills sent to the wrong number, to the shop boy instead of the owner, from a salesman’s personal phone that walks out when the job ends. Here is how to do it properly.
What a WhatsApp bill settles
Paper bill book
- The shop's copy gets lost
- "I never got 10 cases" weeks later
- Payments written on the back, or not at all
- Nothing for the shop's accountant
Bill on WhatsApp, sent at the counter
- A dated copy on the owner's phone
- Quantities checked while the van is still there
- Paid and balance on every bill
- A PDF the accountant can file
What to send
The PDF: the bill itself
Send the same bill you would print, as a PDF, not a photo of a handwritten page. The PDF is what a registered shop’s accountant files, with your GSTIN, the shop’s GSTIN and the tax on each line exactly as billed. A photo can be cropped, blurred or retyped; the PDF is the bill.
The short line: for the owner
The owner reads WhatsApp between customers and will not open a PDF to see the total. A short message with the bill number, date, items, total, what was paid and what is left on the bill is read in five seconds. That line is what turns a bill into a collection tool.
When to send it
- At the counter, before leaving. The owner can check the quantities while the cartons are still on the floor. A mistake found now costs a minute. Found next week, it costs an argument.
- After every payment. When a shop pays all or part of an old bill, send the updated bill showing what was paid and what is left. That is the shop’s receipt, and your proof.
- A statement once a month. In the first week of the month, send each credit shop one statement: every bill, every payment and the balance. Shops that see the full picture argue less about single bills. See how to track shop credit.
Whose number, whose phone
- The owner’s number, not the counter boy’s. Save it on the shop record when the shop is opened, and check it once in person. Bills sent to staff are often never seen by the person who pays.
- With the country code. A number saved as 98xxxxxxxx can fail to open a WhatsApp chat; +91 98xxxxxxxx works everywhere.
- From a phone and SIM the business owns. When a salesman leaves with a personal phone, every chat with your shops leaves too. A business phone and SIM stay with the beat.
What not to do on WhatsApp
- Do not send reminders every day. One bill per sale, one statement a month, and a polite message before a visit are enough. Too many messages and the shop mutes the chat.
- Do not change a bill after sending it. If something was wrong, cancel it with a record and send the corrected bill, so the shop never holds two different versions of the same number.
- Do not negotiate prices in the chat. A special price agreed on WhatsApp is soon quoted by every shop on the beat. See should every shop get the same price.

How Mulberry Sales helps
When the salesman saves a bill on the phone, three buttons appear: print it through the phone’s print dialog, share the PDF to any app, or send it on WhatsApp. The WhatsApp button opens a chat to the shop’s saved number with the bill number, date, items, total, what was paid and what is left on that bill, ready to send. When a shop pays an old bill, the salesman records the payment and shares the updated bill the same way. The app does not send messages by itself; the salesman presses send. In the office you can find and download any bill, and Reports build one shop’s statement for any dates, with every bill, every payment and what it owes, as a PDF or Excel file (Growth plan and up for the download). Questions people ask
Is a bill sent on WhatsApp valid?
WhatsApp is only the way the bill reaches the shop. Whether it is a proper GST bill depends on what is printed on it, which is the same question for a paper bill. Send the PDF of the same bill you would print, and ask your accountant if you are unsure what yours must show.
Should I send the PDF or a text message?
Both have a job. A short text with the bill number, total, paid and balance can be read at a glance on any phone. The PDF is the bill itself, which a registered shop's accountant needs for their records and input tax credit.
When should the bill be sent to the shop?
At the counter, before the salesman leaves the shop, and again after every payment. A bill that arrives the same minute is easy to check and hard to dispute; one that arrives at night after the van has gone is neither.
Found this problem in your business?
Don't estimate it. Run one van on Mulberry Sales for 14 days with your own shops, products and salesman, and measure it. One price covers your whole business, not each salesman.
