UPI payments from shops: how to match every one to a bill and the bank
Payments to the wrong number, fake screenshots, bank credits nobody can name: four habits that make every UPI payment from a shop traceable, daily.

Short answer
Every UPI payment goes to one business account, never a salesman’s number. The salesman marks it paid only after the money is seen in the account, not on a screenshot. Each payment is recorded against a bill, and every evening the day’s UPI is matched with the bank. Anything unmatched is chased the next morning.

UPI should have made collections simpler: no notes to count, no change to give, money straight into the bank. For many distributors it has made them harder to check. Payments arrive on three different numbers, a shop shows a screenshot and the salesman moves on, and at month end the bank statement has credits nobody can tie to a shop, while a few shops swear they paid bills that still show as due.
The problem is not UPI. It is that a UPI payment has no paper trail inside your business unless you build one. That takes four habits.
Where UPI money goes missing
- The wrong account. The shop pays to the salesman’s own number, or to an old QR for an account you no longer check.
- The screenshot. A shop shows a payment screen, and the salesman accepts it. Some of those payments failed, are still pending, or were never made: edited screenshots are an old trick.
- The unnamed credit. The bank shows ₹6,480 from a person’s name you have never heard of. Nobody knows which shop, or which bill, it was for.
- Counted as cash. At night, UPI is added into the cash total and the handover looks short, or the other way round.
Four habits that make every UPI payment traceable
One business QR
same on every van and bill
Seen in the account
never a screenshot
Recorded against a bill
with the UPI reference
Matched with the bank
every evening
1. One business account, one QR
Give every salesman the same printed QR code for a current account in the business’s name, and put the UPI ID on your bills. Tell shops plainly, once: “Pay only to this QR. Payments to anyone’s personal number are not counted.” When a salesman leaves, nothing changes, because no shop was ever paying him.
2. Seen in the account, not on the shop’s phone
A screenshot proves nothing. The payment is real when the money is visible in the account it was sent to: the bank app, the SMS alert, or a sound box on that account. Decide who confirms it. For a small business, one person in the office with the bank app on their phone, whom the salesman can call, is enough. For a payment that cannot be confirmed on the spot, the bill stays unpaid until it can.
3. Recorded against a bill, with the reference
“₹6,480 UPI from Selvi Stores” is not enough. It should be “₹6,480 UPI against the bill of the 14th”. Ask the shop to type the bill number in the payment note, and write down the UPI reference number (the 12-digit UTR on the payment) next to the bill. Then the unnamed credit in your bank statement has a name.
4. Matched with the bank every evening
Make two lists for the day: UPI payments recorded against bills, and UPI credits in the bank statement. Tick off the pairs by amount and reference. What is left over is one of three things:
- In the bank, not on any bill: a shop paid and nobody recorded it. Find the shop and record it, or the shop will be asked to pay twice.
- On a bill, not in the bank: a failed or pending payment, or a screenshot. Call the shop tomorrow morning, politely, with the date and amount.
- Amounts that do not match: usually one payment for two bills, or a part payment. Split it across the right bills.
Ten minutes in the evening is far easier than three hours at month end, when nobody remembers which shop paid what.
Keep UPI out of the cash count
At day end the salesman hands over cash, not UPI. So the cash to hand over is the cash on today’s bills plus cash collected on old bills, minus approved expenses. UPI is a separate total, checked against the bank instead. Mixing the two is the most common reason a handover looks wrong. The full cash routine is in how to stop salesman cash shortages.
Words for the shop that pays to the wrong number
“Anna, from this month we can only count payments to this QR, the one on your bill. If it goes to any other number, even mine, the office cannot see it and your bill stays open. Please scan this one.”
Said as the office’s rule, not the salesman’s, it is easy for a shop to accept. For the rest of the collection conversation, see how to collect payments from shops.
How Mulberry Sales helps
Every payment, including a part payment, is recorded against a particular bill with its method, cash or UPI, and the bill can be sent to the shop on WhatsApp showing what was paid and what is left on it. End Day shows the cash the salesman should hand over, with UPI kept separate. With cash and bank tracking switched on, UPI collections go into their own UPI account, never into cash in hand, and when the money reaches the bank you record a deposit from that account into the bank account, so what is left in it is UPI not yet matched (Business plan). The app does not check a payment with the bank or store the UPI reference, so confirming the money arrived is still the habit above. See collection and credit control.

Questions people ask
How do I check that a shop's UPI payment really came in?
Not from a screenshot. Check the credit in your own bank app, or on the sound box or SMS alert of the account the QR belongs to, before the bill is marked paid. Note the UPI reference number (UTR) against the bill so it can be found later.
Should salesmen collect UPI payments on their own phone number?
No. Every UPI payment from a shop should go to the business account, through a QR code or UPI ID in the business's name. Money that lands in a salesman's personal account is mixed with personal money and cannot be traced to a bill.
How do I match UPI collections with my bank statement?
Every day, list the UPI payments recorded against bills and the UPI credits in the bank statement for the same day. Tick off pairs by amount and shop. Anything left on either list is followed up the next morning, not at month end.
Found this problem in your business?
Don't estimate it. Run one van on Mulberry Sales for 14 days with your own shops, products and salesman, and measure it. One price covers your whole business, not each salesman.
