Vyapar or a van sales app: what a distributor with vans actually needs
Vyapar is a very good billing app. What changes once your stock spends the day on vans, the five jobs to see demonstrated, and when Vyapar is simply the better choice.

Plenty of distributors already bill on Vyapar, and it does that job well. The question usually comes later, once the business has a van or two on the road: is the billing app enough, or does a van day need something built for it?
We sell a van sales app, so read this knowing who wrote it. Everything below about Vyapar comes from Vyapar’s own website, with the link beside it, read on 25 September 2026. Where one of their pages does not mention something, we say that page does not mention it. That is not the same as saying the product cannot do it, and you should ask them.
What Vyapar says it is
The headline on their home page is “Best GST Billing Software for Small Businesses”, and it says “Trusted by 1.5 Cr+ Indian Businesses”. That is an accurate description of a very large, very good billing and accounting product: GST bills, stock, payments, reports, with a desktop and a phone app.
It is also cheap. Their pricing page shows:
- Silver, 1 year: ₹4,399 a year — 3 companies, 10 e-way bills a month
- Gold, 1 year: ₹4,799 a year — 5 companies, unlimited e-way bills
It goes further than billing, too. The Gold column lists “Generate E-way Bills (unlimited)”, and Vyapar has a salesman role and a salesman tracking page. So the honest version of this comparison is not “Vyapar cannot handle a field team”. It is narrower than that.
The question that decides it: where is the stock at 11 a.m.?
A billing app is built around stock that sits still — in a godown or behind a counter — and customers who come to it. A van distributor’s stock spends the day on the road, split across two or three vans, and the money comes back in pieces from thirty shops. Five jobs follow from that, and they are where van software earns its price:
- Loading. Stock leaves the godown count when it goes onto a particular van, not when it is sold.
- Billing from the van. The salesman can only bill what is on his van, and he sees how much is left.
- Old dues at the door. He collects last week’s balance against the right bill while he is standing in the shop.
- Unloading. What comes back is counted in, van by van, and the difference is visible the same night.
- The day’s close. Each man hands over cash that matches what the app says he collected, with UPI kept separate.
Vyapar’s salesman tracking page describes “see your team's live location on a map”, a route map of “every movement of your salesman”, one-tap check-ins at the customer's location, which visits “converted into sales orders”, “create daily beat plans”. That page does not mention loading stock onto a van, stock held on each van, collecting old dues, shop credit limits. Some of that may exist elsewhere in their product. The way to find out is the same for them and for us: ask for a demo of all five jobs, with two of your own products and one of your own shops, and watch the stock figure after each step.
When Vyapar is the better choice
Pick Vyapar, or stay on it, when any of these is true:
- You have no vans. If shops come to your counter or order by phone for delivery in bulk, you need billing, stock and accounts. That is exactly what Vyapar is.
- You need e-way bills or e-invoices. Vyapar lists both. We generate neither, so if your loads or your turnover require them, that alone settles it.
- You want accounts and GST filing in the same app. Vyapar has an accounting module and exports to Tally. We keep your sales, stock and cash book, and hand the numbers to your accountant in Excel.
- Price is the deciding factor. A year of Vyapar Gold costs ₹4,799. Our Starter plan, the cheapest one with a van, is ₹1,799 a month. If all you need is billing, Vyapar is the cheaper tool, and our own Billing plan at ₹299 a month is not a reason to switch.
When a van sales app pays for itself
- Stock disappears between the godown and the shops. Two packets a day at ₹40 is ₹2,400 a month — more than a month of Starter (₹1,799). Van-wise loading and unloading is how you find it.
- Shop credit is the real worry. Balances by age, limits that stop the next bill, and dues collected at the door are van-day problems, and a counter billing app is not built around them.
- Your salesmen change. Our price is for the business, not per login: Growth covers up to 5 salesmen, 2 inventories, 4 vans included (up to 10), whoever they are this month. With Vyapar, the multi-device guide says “Multi-device synchronisation is a Paid/Premium feature in Vyapar” and, on how many devices, “This depends on your subscription plan.” — ask what each extra salesman’s phone adds to the bill.
Using both is normal
Many distributors keep a billing and accounts package for the office and GST filing, and run the vans on a van app. The one rule is that nothing gets typed twice. Before you add anything, check that you can bring your shops and products in from a file, and get every day’s sales back out as Excel your accountant can use. Five questions to ask any app, us included
- Show me a van being loaded, and the godown stock after. If the godown figure does not move, the van is not really in the system.
- Can the salesman bill something that is not on his van? The right answer is no.
- Show me a shop’s balance by age, and what happens at its credit limit. A total is not enough; 40-day-old money is a different problem from last week’s.
- What does each extra salesman cost, in writing? Per-device and per-user prices grow quietly as the team does.
- How do I take all my data out, and what format is it in? If the answer involves a support ticket, keep asking.
